Space and asset data management gets a digital facelift
Consertus worked with Montefiore Einstein to unify space and asset management across the enterprise. We delivered a single digital platform that standardized data, processes, and tools, making it easier to manage spaces, locate assets, streamline maintenance, and support regulatory compliance.
Accurate space data as a strategic asset
A foundational step in our work with Montefiore Einstein was delivering a verified, system-wide source of accurate space information. This included detailed geometric data of room layouts, along with operational details like room names and numbers. Spaces were aligned with FGI/ASHE room standards. With this in place, it enables strategic planning of expansions, supports other enterprise-wide initiatives, and ensures regulatory requirements.
The improved data also enabled the organization to avoid $9 million in annual carbon penalties under New York State emissions rules, turning better space visibility into an immediate financial impact.


One system, consistent practices
With accurate space data in place, Montefiore Einstein moved quickly to standardize the tools and processes used across its facilities. Updated floor plans were used to plan engineering asset tagging and enabled technicians to pinpoint the precise location of assets across 8.5M sq ft of facilities. This register of assets was loaded into a new enterprise asset management platform that provided a standardized approach for characterizing and managing assets for optimized maintenance and regulatory compliance and reporting.
Montefiore Einstein also implemented Starfish Assets, Consertus’ library of standardized Inspection, Testing, and Maintenance (ITM) procedures, to ensure consistency with rigorous processes for aligning to life safety and environment of care requirements to proactively mitigate risks. The result was a measurable reduction in regulatory risk and a more uniform way of working across all sites, supporting more transparent reporting, faster audits, and stronger overall governance.
Data-driven decisions for smarter asset management
Montefiore Einstein enhanced its asset management program by leveraging CMS Analytics. It will drive more informed, system-wide decisions. The platform allowed teams to assess asset performance, identify risks, and target areas for improvement across the portfolio. It also brought greater consistency to inspection, testing, and maintenance activities, helping ensure regulatory compliance.
Teams now have visibility into key metrics, such as customer satisfaction, service levels, productivity, backlog, failure trends, ITM reliability, and open work status, allowing them to benchmark performance and focus their efforts where it matters most.


Cross-department access, real-time insight
The space and asset platform became a shared resource across Montefiore Einstein, providing teams in medical student wayfinding, security, planning, design, construction, finance, and sustainability with access to the same accurate data.
Through a simple browser-based interface, staff could retrieve critical space and asset information in just a few clicks. This level of access improved coordination, reduced duplication, and enabled faster, more informed decisions across the organization.
What’s on paper finally matches what’s on site
Montefiore Einstein used Consertus’ reality capture services to scan and digitize over 8.5 million square feet at over 100 facilities across 13 sites.
This process produced high-precision 3D models and room-level data accurate enough to support asset identification and location, wayfinding, and virtual walkthroughs, all within a few clicks. Data quality was improved with standardized room types, numbers, and spatial relationships. This unified, accurate dataset now supports space planning, operations, construction, coordination among owner stakeholders and AECs, and compliance efforts across the health system.


Resolving as-built discrepancies with verified space data
Accurate digital scans of Montefiore Einstein’s facilities revealed several mismatches between legacy drawings and real-world conditions—variations that can significantly affect space planning, compliance, and reimbursements. Consertus provided accurate floor plans with validated space data across the system. For example, outdated corridor dimensions and room configurations were resolved using reality capture, restoring accuracy to area calculations and enabling better decision-making.
We also identified and corrected exterior discrepancies, such as wall offsets and structural misalignments, which had been skewing gross and net square footage totals. With these adjustments in place, Montefiore Einstein now has a verified baseline for planning, reporting, and regulatory compliance.

Aligning departmental data to support planning and wayfinding
Using reality capture, Consertus helped Montefiore Einstein update and validate departmental room assignments across the system. We corrected outdated information and confirmed the actual size, use, and ownership of spaces, giving stakeholders accurate square footage data for planning, reporting, and operational decision-making.
As part of this work, we also addressed inconsistencies in room numbers and names, as well as identified gaps in signage. By aligning space identification, Montefiore Einstein strengthened support for key functions, such as medical student wayfinding and departmental coordination.
These updates ensure that space data accurately reflects the current reality, which is crucial for informed decision-making throughout the organization.
